Questions to Ask a Venue When Booking for a Cultural Event in Kansas City

April 24, 2025

Kansas City is a beautifully diverse city, rich with cultural celebrations, from vibrant South Asian weddings to lively quinceañeras and heartfelt mitzvahs. Planning a cultural event means honoring traditions while creating a memorable experience for your loved ones — and choosing the right venue is one of the most important decisions you’ll make.

At UNION, we’re proud to be one of Kansas City’s most versatile venues, welcoming events of every culture, faith, and tradition. If you’re on the hunt for the perfect event space in Kansas City, here are the essential questions you should ask any venue before booking your cultural celebration:

1. Food & Beverage Policies

Cultural events often center around food, with specific dishes, preparation styles, and serving traditions. Be sure to ask:

  • Does the venue have a food & beverage minimum?
  • Can we bring in our own caterer, or are we required to use in-house vendors?
  • If we use an outside caterer, are there additional fees?
  • Is there a prep kitchen or warming area available for caterers?

At UNION, we offer a fully open catering policy — no food & beverage minimums and no extra fees for outside caterers. Our spacious prep kitchen makes it easy for your culinary team to work their magic.

2. Vendor Flexibility

Your culture may have preferred vendors for music, décor, photography, and entertainment. Don’t forget to ask:

  • Does the venue have an open vendor policy?
  • Are there any restrictions on specific vendor types (caterers, DJs, decorators, etc.)?
  • If we choose outside vendors, is there a waiver process or extra fees?

At UNION, we believe in vendor freedom. You can bring in any vendor of your choice — no exclusive lists or surprise charges here!

3. Cultural & Religious Accommodations

Every event has its unique traditions, and it’s important to make sure your venue can honor them:

  • Can the venue accommodate specific cultural or religious traditions (like a baraat, fire rituals, candle-lighting ceremonies, or choreographed dances)?
  • Are there restrictions on open flames, incense, or certain practices?
  • Is it possible to host both the ceremony and the reception in the same space?

UNION is known for its flexibility. We’ve hosted everything from lively baraats down Southwest Boulevard to intimate tea ceremonies inside our space. Open flames and religious rituals are welcome, pending safety approval.

4. Space & Guest Capacity

The vibe of your event depends on the space. Make sure to ask:

  • What is the maximum capacity for seated and standing events?
  • Is there room for a large dance floor, live performances, or cultural showcases?
  • Are there private areas available for family-only gatherings or prayer rooms?

Our industrial-chic venue holds up to 200 seated guests and 300 for cocktail-style receptions, with plenty of space for a dance floor, stages, and live entertainment.

5. Decor & Customization

Cultural celebrations are often colorful, symbolic, and decor-heavy. Important questions include:

  • Are there restrictions on decorations like hanging drapery, candles, flower walls, or themed backdrops?
  • Can we bring in elements like a mandap, chuppah, or custom structures?
  • Is it possible to adjust the lighting or bring in additional A/V equipment?

At UNION, your vision leads the way. We allow hanging installations, specialty rentals, and complete customization of the space. Our lighting can be tailored to match your event’s mood, and we’re fully equipped for additional A/V needs.

6. Event Timing & Noise Restrictions

Some cultural events run long — and loud! Clarify:

  • How long can the event last?
  • Is there a cut-off time for music, dancing, or outdoor celebrations?
  • Can we extend the rental period if needed?

Our standard rental period runs up to 12 hours, with the option to extend if your celebration calls for an after-party. No noise restrictions here — we’re located in Kansas City’s Crossroads District, known for its energy and nightlife.

7. Parking & Accessibility

Your guests should feel comfortable from arrival to departure. Ask:

  • Is there ample parking for guests and vendors?
  • Are there accessibility options for elderly or disabled guests?
  • Can large vehicles like buses or limos easily drop off guests?

UNION has nearby street parking, plus access to several nearby lots and garages. We’re ADA-compliant, and buses and large vehicles can easily load and unload right in front of the venue.

8. Cost & Contract Details

To avoid surprises, get clear answers on:

  • What is included in the rental fee?
  • Are there hidden fees (cleaning, security, overtime, etc.)?
  • What is the cancellation or refund policy?

Our pricing is transparent — what you see is what you get. We’ll go over all the details upfront, including optional add-ons, security, and cleanup services. No hidden fees, ever.
